In response to a growing demand from patients and to offer the best dental care possible, Dr. Hart conducts a comprehensive oral health examination required for any new visitor to become an established patient at our office. The comprehensive examination consists of three distinct phases: a) data gathering to establish a baseline of the patientโs oral health; b) in-depth analysis of the collected data by Dr. Hart; c) meeting with Dr. Hart to discuss a diagnosis and most appropriate and effective comprehensive treatment plan to address any and all oral health issues that the patient has. New patients can have their dental records (PAs, CBCT scans, X-Rays, bitewings, etc.) emailed to us atย [email protected] ย no later than one business day before their first visitย to Virginia Biological Dentistry.
Regardless of the available past records, we follow Dr. Hartโs diagnostic protocol and will do our own diagnostics, using our officeโs state-of-the-art technologies at your first appointment with us.

Once you establish yourself as a patient of record at our biological dental practice you will be required to make a down payment to reserve a treatment appointment with Dr. Hart. The down payment is 50% of the cost of the treatment that you schedule for. Since we are keeping that appointment just for you, including reserving Dr Hartโs time for you and obtaining all materials needed for your procedure if you cancel your appointment for any reasons your down payment will be forfeited. You can however reschedule your appointment for the next available time with Dr. Hart up to 5 business days prior to your original appointment by calling and speaking with our front desk staff.
Virginia Biological Dentistry is an out of network providerย and we want to ensure that our office time is entirely devoted to addressing patientsโ oral concerns and providing best dental care as part of our biological practice.
In order to reduce the time spent on collecting insurance payments and patientsโ outstanding payments our office has the full-payment policy at the time of service. This policy requires all new patients to pay in full for a dental procedure when the service is provided. The full-payment policy covers all treatment procedures including hygiene appointments. Upon their first meeting, all new patients undergo a comprehensive examination followed by an exhaustive consultation with Dr. Hart. This allows us to develop a detailed treatment plan for a new patient that includes a detailed breakdown of costs for each procedure and anticipated total costs. This means that prior to having the procedure scheduled and performed our patients have a very good understanding of the payment amount they are expected to make at the time of service.
Our policy to pay fully for dental services at the time they are delivered is, in fact, no different than the payment policies that all of us are subject to and familiar with when we seek legal representation or advice, have our cars fixed or our haircut done.
Even when we take the full payment, we are committed to helping our patients file claims to their insurance as part of the out-of-network benefits and before patients leave our office. Oftentimes, the insurance companies send their reimbursement checks directly to patients. However, in case our office receives an insurance payment we reimburse a patient by mailing the check for the amount the insurance paid us.
We noticed that patients oftentimes think of a dental insurance as a medical insurance with no coverage limit. In fact, all dental insurances have yearly coverage limits that usually fall between $1000 to $ 2000 and this is regardless of whether patients use dentists in or out-of-network. This coverage limit is quickly exhausted during a year when patients need major dental work done such as crowns, bridges, implants or dental appliances, the costs of which go into thousands of dollars. In this case, patientsโ choice of our out-of-network practice comes down to a high quality of services that we offer and the demand for Dr. Hartโs unique specialization and skills in biological dentistry and her biological approach to dental care.
In case you need to reschedule your appointment please do so as early as possible, by calling and speaking with the front desk staff (voicemails, emails and text messages are not accepted as rescheduled appointments)ย AT LEAST 5 business days prior to your appointment, in order to avoid forfeiting your reservation downpayment.
